Chief of Staff to the CEO
Summary
This senior, full-time individual contributor role serves as a strategic partner to the Chief Executive Officer, operating from Pune with occasional travel to Singapore and key market locations. Designed as a two-to-three-year engagement, the position offers company-wide visibility, collaborating closely with five Product Business Unit (PBU) heads, the CTO organization, and cross-functional leaders in delivery, marketing, finance, and talent.
The primary purpose of this role is to establish and maintain a robust operating system that enables the CEO to focus on high-level strategy, capital allocation, and critical personnel decisions. By managing the rhythm of the organization and ensuring seamless execution of cross-unit commitments, the Chief of Staff empowers PBU leaders to drive their respective units effectively while the CEO maintains direct oversight without being bottlenecked by coordination tasks.
Responsibilities
Orchestrate Operating Rhythms: Manage the end-to-end monthly portfolio review, including agenda setting, standardizing pre-reads, tracking decision logs, and ensuring action items are assigned and completed.
Develop Outcome Metrics: Create and maintain a unified scorecard for each PBU focusing on business impact, customer satisfaction, and product reliability, collaborating with Finance and Product Marketing to validate data sources.
Manage Cross-Unit Dependencies: Maintain a central register of customer commitments and shared roadmap items, proactively identifying and resolving conflicts before they impact delivery or client relationships.
Streamline Executive Decision-Making: Triage and frame all requests requiring CEO attention with clear facts, options, and recommendations, ensuring rapid turnaround times and documenting final decisions for accountability.
Drive Transformation Execution: Track the implementation of the new PBU operating model, including organizational changes and interim reporting, and prepare strategic reviews with data-driven recommendations for future structural adjustments.
Facilitate Leadership Alignment: Run the weekly leadership cadence, quarterly business reviews, and annual planning cycles, ensuring high standards for pre-reads, minutes, and action tracking across all forums.
Monitor Strategic Progress: Partner with the CFO to track company-wide objectives regarding growth, profitability, AI deployment, and market expansion, providing concise monthly updates to the CEO and leadership team.
Prepare Board and Shareholder Materials: Oversee the quality and timeline of board packs and shareholder reports, ensuring consistency and accuracy in all content derived from functional teams.
Lead Special Initiatives: Manage time-bound projects scoped by the CEO, such as revenue team reorganizations, new market entry groundwork, and AI strategy rollout, ensuring clear scope, deadlines, and handovers.
Draft Executive Communications: Author decision memos, briefing notes, and internal communications for the CEO, collaborating with the Content team to ensure external messaging accurately reflects facts and decisions.
Maintain Local Presence: Act as the daily representative of the CEO office in Pune, providing early insights into unit operations and delivering candid, necessary information to leadership.
Requirements
Education: An MBA from a top-tier business school (such as an IIM) is required; an undergraduate degree in engineering or a quantitative field is highly preferred.
Experience: Eight to twelve years of professional experience, including at least three years in a top-tier management consulting firm with a track record of managing engagement managers or equivalent workstreams for C-suite clients.
Industry Background: Minimum of two years of operational experience within a software, SaaS, or technology product company, specifically in strategy, operations, program management, or a Chief of Staff capacity.
Proven Track Record: Demonstrated success in leading cross-functional programs to completion within organizations of 200 to 500 employees, with a focus on delivering tangible outcomes rather than just plans.
Board-Level Competence: Experience in preparing and presenting materials for board-level audiences and working directly with engineering and product leaders to understand the software development lifecycle.
Core Skills: Exceptional written and verbal communication skills, the ability to analyze financial data independently, proficiency in running meetings that result in clear decisions, and the capability to build data-driven scorecards from raw inputs.
Technical Fluency: Comfortable integrating AI tools into daily workflows and expects similar adoption across teams.
Working Style: A low-ego professional with a strong commitment to follow-through, capable of delivering difficult truths to senior leadership, and dedicated to seeing problems through to resolution without seeking public credit.
Location: Must be based in Pune or willing to relocate prior to commencement, with the ability to travel occasionally to Singapore.
