Responsibilities

The Senior Billing Specialist is responsible for accurate, timely invoicing across an assigned customer portfolio, including the most complex accounts and billing arrangements. The role interprets billing terms, resolves discrepancies to their source, and serves as the escalation point for complex billing queries and disputes from customers and internal teams. The role reviews billing work prepared by other specialists, provides mentorship and training, owns month-end and year-end billing close activities, reconciles data across connected billing systems, and drives process improvement and documentation.

Success is measured by invoices issued correctly the first time, recurring discrepancies prevented, and billing processes documented well enough to remain repeatable through turnover.

Generate, review, and process accurate customer invoices in a timely manner, including the most complex accounts and billing arrangements across contract- and schedule-driven, usage, subscription, and fulfillment-driven billing models.

Review contracts, agreements, and service orders to ensure billing aligns with terms, resolving ambiguity with the responsible account or contract owner before invoicing.

Reconcile invoices with customer records and agreements, and investigate discrepancies to their cause, including fulfillment errors, SKU mismatches, and pricing variances.

Serve as the point of contact for complex billing queries and disputes from customers and internal teams, owning each through a documented and professional resolution.

Review and validate invoices and billing work prepared by Billing Specialists before release, holding the work to a standard that will survive audit.

Own month-end and year-end billing close activities for the assigned portfolio, including supporting schedules and reconciliations.

Maintain and update customer billing information in Salesforce and NetSuite, reconcile data across connected systems, and flag synchronization or data-flow issues that force manual workarounds.

Track and manage billing schedules, deadlines, and deliverables for the assigned portfolio, escalating risk to the billing calendar early enough for action.

Produce and analyze billing and receivables reporting, including aged unbilled and billing accuracy, and explain variances to finance leadership.

Own audit support for the assigned area, preparing requested documentation and responding directly to auditor clarifications.

Mentor and train Billing Specialists, including onboarding and coaching on judgment calls as well as procedure.

Identify and drive process improvements, and document standard operating procedures so billing is repeatable and does not depend on individual knowledge.

Partner with account, contract, operations, and finance teams to resolve upstream issues affecting billing accuracy and timeliness.

Monitor recurring discrepancies and recommend preventive controls or system and process changes.

Support special billing analyses, customer requests, and finance initiatives as business needs require.

Performs other duties as assigned.

Complies with all policies and standards.

Demonstrated comfort with adopting emerging AI tools and technologies to optimize processes, improve collaboration, and drive operational effectiveness.

Associate's or bachelor's degree in Accounting, Finance, Business, or a related field, or an equivalent combination of education and experience.

Four or more years of experience as a Billing Analyst, Billing Specialist, or in a similar finance or accounting role.

Experience with complex, multi-entity, or multi-subsidiary billing arrangements.

Experience reconciling billing data across systems and resolving billing discrepancies to their source.

Experience supporting month-end or year-end billing close, reporting, reconciliations, or audit requests.

Experience mentoring, training, or reviewing the work of other billing staff.

Working knowledge of Oracle NetSuite, Salesforce, and ServiceNow.

Advanced computer skills in Outlook, Word, and Excel, including the ability to reconcile large data sets independently.

Knowledge of contract-driven, usage, subscription, schedule-driven, and fulfillment-driven billing models.

Familiarity with how billing drives revenue recognition, deferred revenue, and unbilled accounts receivable.

Analytical and problem-solving skills, including the ability to trace billing errors to their source system or process.

Strong organizational and multitasking skills, with the ability to prioritize competing deadlines in a fast-paced environment.

Excellent attention to detail and accuracy, with a commitment to quality and timely completion of duties.

Strong interpersonal and client-service skills, including the composure to handle contested invoices directly with customers.

Ability to work effectively both independently and within a team, and to interact with all levels of personnel.

Ability to exercise confidentiality, integrity, sound judgment, and professional conduct.
