Global Medical Advocacy Program Coordinator

Remote Full-time

Location: Virtual United States

As a Global Medical Advocacy Program Coordinator, you will help run and grow IDEXX Medical Advocacy programs around the world. You'll turn strategy into clear plans, organized data, and consistent execution. This is a virtual role, and working East Coast hours is preferred.

The Medical Advocacy department works with veterinary thought leaders, universities, and specialists to advance medical education and strengthen IDEXX's scientific voice in the profession.

In this role

Think of yourself as the air traffic controller for an integrated portfolio of programs, including Regional Thought Leaders, Academic Affairs, Specialist Strategy and Specialist Support Veterinarians, and Key Opinion Leader Growth & Nurture. You'll bring your own ideas on better ways to organize and structure our work.

Program support

You'll provide day-to-day support for established programs and help carry defined projects from planning through completion.

You'll build and maintain project plans in Smartsheet with milestones, timelines, and owners.

You'll flag risks and delays early and work with stakeholders on solutions.

Medical Advocacy operations

You'll support execution of the Integrated Advocacy Plan, including data collection, asset maintenance, meeting cadence, and milestone tracking.

You'll support the Regional Thought Leader program with onboarding, activity tracking, communications, and vendor and budget processes.

You'll support Academic Affairs and Specialist Support Veterinarian programs, including university partnerships, specialist engagement, and resident education activities, and help keep the education growth plan on track.

You'll help coordinate the events we host and the strategy for how we get things done.

Reporting and documentation

You'll maintain Medical Advocacy KPIs, milestones, and engagement data, and build dashboards and reports in Smartsheet.

You'll work with program owners to improve data quality and consistency.

Your day-to-day will include tracking the COE budget, maintaining SOPs and workflows, and preparing materials for leadership updates and business reviews.

Process improvement and collaboration

You'll create repeatable templates and simplify workflows, using AI and automation tools where they help.

You'll partner with Medical Affairs, Commercial, Marketing, Legal, Compliance, Finance, and regional teams in a matrixed environment.

Why this role matters

When programs run reliably and the data is accurate and current, our program owners and medical leaders can spend more time on strategy, scientific leadership, and customer engagement. That's the difference you'll make. You'll see how the pieces fit together across a growing portfolio, help us run the numbers, and have a real voice in how we work. We're technology-forward and very open to AI, so we're looking for someone who'll lean in and champion it with the team. You'll join a collaborative group with a great culture and a good-attitude, get-it-done spirit.

What you need to succeed

  • You have hands-on program or project coordination experience, ideally 3+ years, running work on a timeline with defined deliverables.
  • You have supported multiple workstreams and stakeholders at once.
  • You have solid Smartsheet skills (sheets, reports, dashboards, forms, and basic automation).
  • You are comfortable with Excel and with Teams, SharePoint, and PowerPoint.
  • You are comfortable working with KPIs, reporting data, and budgets.
  • You are curious about AI and excited to try new tools and share what you learn.
  • You bring strong organization, prioritization, and written and verbal communication.
  • You have sound judgment and consistent follow-through.
  • You have a Bachelor's degree or equivalent combination of education and experience.
  • Experience using generative AI or automation tools to improve workflows or reporting is a plus
