About the Role
This is a foundational operations role supporting the build-out of JLL's Americas Asset Management Services platform. Sitting alongside a newly appointed Lead Director, Americas - Asset Management Services, you'll be the operational backbone of a team expected to grow significantly over the next 24 months — keeping things organized, well-documented, and running smoothly as headcount and complexity scale. This is a role for someone early in their career who wants to grow into broader operations leadership over time.
What You'll Do
Team coordination and administration
Serve as the day-to-day operational point of contact for the Asset Management Services team, managing logistics, scheduling, and communications that keep the group running efficiently.
Maintain team trackers, distribution lists, shared drives, and internal documentation — ensuring information is current and accessible.
Coordinate internal and external meetings for the Lead Director, Americas – Asset Management Services and extended US Asset Management Services leadership of agendas, materials, and follow-up summaries.
Support the development and documentation of operational playbooks and standard processes as the Americas Asset Management Services platform scales — capturing workflows, decision frameworks, and repeatable procedures that enable consistency and efficiency across a growing team.
Onboarding and people support
Own the onboarding experience for new team members — coordinating equipment, system access, licensing requirements, and first-day logistics with HR, IT, and Compliance.
Build and maintain onboarding materials and playbooks as the team grows and processes mature.
Assist with new hire interview coordination and candidate scheduling in partnership with HR.
Recruiting support
Support active recruiting efforts by coordinating interview logistics, tracking candidate pipelines, and ensuring a smooth experience for candidates and hiring managers.
Liaise with HR and external recruiters as needed; maintain organized records of open roles and hiring status.
Marketing, collateral, and BD support
Support the production of pitch materials, capability decks, and client-facing collateral in partnership with the Lead Director and broader team.
Help maintain a library of current, reusable marketing content — case studies, credentials, boilerplate — so materials stay accurate and easy to assemble under time pressure.
Assist with formatting, proofing, and packaging materials ahead of pitches and client meetings.
Coordinate logistics for BD and pitch efforts — scheduling, material distribution, and follow-up tracking.
Office and operational hygiene
Ensure data accuracy in internal systems (Capforce?) and follow up on missing or incomplete information.
Process invoices, coordinate expense reporting, and serve as the team's point of contact for Finance, IT, and Facilities.
Monitor adherence to company policies and communicate updates to the team.
Events and culture
Support planning and execution of team events, offsites, and culture initiatives.
Assist with broader Asset Management Services events and conferences as needed.
What You Bring
- 2–4 years of administrative or operations experience, ideally in financial services, real estate, or a professional services environment.
- Strong organizational skills and attention to detail — comfortable managing multiple workstreams simultaneously.
- Clear, professional communicator, written and verbal.
- Proactive by nature; doesn't wait to be told when something needs to be fixed.
- Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint); familiarity with SharePoint or similar platforms a plus.
- Experience with Salesforce/CRM systems preferred but not required.
- Bachelor's degree preferred or equivalent experience.
Growth Path
This role is explicitly designed as a stepping stone. Strong performers will gain exposure to strategic planning, P&L support, compliance, and broker operations — building toward an Operations Manager track within JLL's Asset Management Services Operations function.
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
