Position Summary
The Site Finance Manager provides financial planning, forecasting, reporting, and control support for JLL’s Integrated Facilities Management (IFM) operations at the assigned site. The role partners closely with site and account leadership, operations teams, Finance, Procurement/Sourcing, and suppliers to support sound financial decisions, contractual compliance, cost visibility, and operational performance.
The role owns the site’s end-to-end financial forecast, including direct and indirect costs, third-party services, contract-charged payroll and taxes, projects, and emergency expenses. It monitors financial performance against the guaranteed contract cost and applicable account metrics, including GRVN, UMLV, and Open Orders. The Site Finance Manager also supervises one Finance Assistant as a direct report.
Key Responsibilities
- Financial Planning, Budgeting, and Forecasting
- Lead the development and maintenance of the site’s annual budget and rolling forecast in partnership with site operations and account leadership.
- Prepare a comprehensive forecast covering all relevant cost categories, including direct and indirect expenses, third-party/vendor costs, contract-charged payroll and taxes, projects, and emergency or unplanned expenses.
- Forecast costs against the guaranteed contract cost and identify projected risks, opportunities, and impacts to financial performance as early as possible.
- Track actuals, commitments, purchase orders, accruals, and remaining forecast to support a current and complete view of expected site costs.
- Develop scenarios and cost-impact analyses for operational changes, projects, emergencies, and other material decisions.
- Support compliance with applicable financial and contractual metrics, including GRVN, UMLV, and Open Orders; monitor performance, investigate exceptions, and coordinate corrective actions.
- Financial Reporting and Analysis
- Prepare and present the site’s monthly financial package to relevant JLL and client stakeholders, in accordance with account requirements and reporting deadlines.
- Analyze actuals against budget, forecast, and contractual targets; explain material variances, identify root causes, and distinguish timing differences from underlying cost changes.
- Update forecasts and recommend appropriate expense realignments based on actual performance, approved scope, and financial policies.
- Prepare clear financial commentary, dashboards, and presentations for monthly operations reviews, management business reviews, and other governance meetings.
- Identify cost trends, risks, savings opportunities, and potential overspend, and communicate findings with practical recommendations.
- Financial Operations and Controls
- Support the monthly financial close by coordinating timely and accurate accruals, expense coding, reconciliations, and supporting documentation.
- Monitor open purchase orders and commitments; follow up on aged, unused, or inaccurate orders and support their timely resolution or closure.
- Review invoices and expense allocations for accuracy, appropriate approvals, budget availability, contractual alignment, and supporting documentation; coordinate resolution of discrepancies with Operations, Procurement, Accounts Payable, and suppliers.
- Maintain complete and audit-ready financial records in accordance with JLL policies, client requirements, and applicable contractual controls.
- Support internal and client audits, financial reviews, and compliance assessments; track findings and follow up on agreed actions.
- Escalate material financial risks, control issues, unapproved costs, and potential contract or budget impacts to the appropriate leaders.
- Contract, Project, and Supplier Financial Support
- Review financial implications of operational changes, projects, emergency work, and scope or contract changes; coordinate required approvals and documentation with the appropriate stakeholders.
- Support the financial tracking of operating and capital projects, including approved budgets, commitments, actual costs, and expected costs to complete, where applicable.
- Partner with Procurement/Sourcing on supplier qualification, financial and documentation reviews, evaluations, and management business reviews.
- Support supplier compliance reviews in coordination with Procurement, Operations, and other relevant functions, including review of financial documentation and alignment to approved commercial terms.
- Analyze supplier spend and payment patterns, identify trends or exceptions, and advise leaders and suppliers on opportunities to improve cost predictability and financial performance.
- Provide financial input to supplier performance discussions and cost-saving initiatives, while supporting the account’s procurement and approval requirements.
- Business Partnership and People Management
- Act as a trusted financial partner to site and account leaders, translating financial information into timely, actionable recommendations.
- Advise leaders on spending patterns, forecast changes, budget risks, cost-control opportunities, and the financial impact of operational decisions.
- Provide responsive financial guidance to Operations, Procurement/Sourcing, Finance, and suppliers within the role’s scope.
- Supervise, coach, and develop one Finance Assistant who reports directly to this position; set priorities, review work, and support timely, accurate execution of assigned responsibilities.
- Promote consistent financial processes, accurate data, accountability, and continuous improvement across site operations.
Qualifications and Experience
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field, or equivalent relevant experience.
- Relevant experience in financial planning and analysis, accounting, commercial finance, or financial operations; experience supporting facilities management, IFM, real estate, or contract-based services is preferred.
- Experience with budgeting, rolling forecasts, variance analysis, month-end close, accruals, purchase orders, and vendor or project cost tracking.
