CIB Risk COO - Record Steward

Mumbai, India In person Full-time

As a Record Steward in CIB Risk, you will support the CIB Risk Data Owner and provide day-to-day oversight of Data Retention and Destruction and related data-risk requirements. Based in India and a member of the CIB Risk COO team, you will work closely with the Risk Management and Compliance Data Risk Office, Information Owners, Site Owners, Business Managers, Control Managers and technology partners.

This is a hands-on governance and execution role. You will translate firmwide requirements into clear actions, maintain disciplined tracking and evidence, challenge data-quality issues, provide practical guidance to stakeholders and escalate risks when deadlines or control expectations are at risk.

Job Responsibilities

  • Serve as the central point of coordination for CIB Risk records management activities and oversee compliance with applicable data retention, destruction and protection requirements.
  • Review monthly inventory reports and management dashboards; identify population changes, missing or incorrect ownership, retention-code gaps, certification breaks and other data-quality issues; drive remediation to closure.
  • Coordinate monthly disposition activities for electronic and physical records, including targeted outreach, status tracking, follow-up and escalation of overdue actions. Ensure Legal Hold and other restrictions are appropriately considered before disposition.
  • Lead periodic User Access Reviews for shared drives and SharePoint sites. Prepare in-scope populations and access rosters, launch reviews, support owner decisions, coordinate access-change requests, maintain evidence and perform quality assurance.
  • Coordinate annual protection and certification exercises. Issue communications, provide subject-matter support, track completion, validate submissions, record results and support post-certification testing and closure.
  • Coordinate physical-record activities through the approved records platform, including owner/contact maintenance, review of destruction-eligible populations and controlled approval follow-up.
  • Partner with Information Owners and Site Owners to support accurate confidentiality classifications, Record Class Codes, country indicators and retention requirements, escalating matters that require specialist interpretation.
  • Act as the first point of contact for stakeholder questions. Provide training, office hours, written guidance and troubleshooting support, and promote consistent execution across CIB Risk.
  • Leverage automation, AI, and Intelligent Solutions technologies to reduce manual effort and increase operational efficiency.
  • Represent CIB Risk in RM&C Data Risk Office forums; assess new or revised requirements, determine CIB Risk impacts and coordinate implementation with relevant stakeholders.
  • Produce concise management information, scorecards and executive updates covering completion, overdue items, exceptions, trends, risks and remediation plans. Escalate material issues to the Data Owner and relevant governance forums.
  • Maintain complete, organized and audit-ready evidence, procedures, trackers, communications and decision records.
  • Required Qualifications, Capabilities and Skills
  • Bachelor’s degree or equivalent practical experience.
  • Experience in risk and control, records management, data governance, operational risk, compliance, or a closely related function within financial services.
  • Strong program and project management skills, with the ability to manage recurring control cycles, large inventories, multiple stakeholders and competing deadlines.
  • Proficient to expert-level experience with Alteryx, Python, and other Intelligent Solutions technologies.
  • Demonstrated ability to interpret policies and procedures and convert requirements into clear, executable actions and sustainable operating routines.
  • Strong analytical skills and attention to detail, including the ability to identify data-quality breaks, reconcile populations, perform quality assurance and maintain reliable evidence.
  • Clear, concise written and verbal communication skills, with confidence engaging senior stakeholders and explaining complex requirements in practical terms.
  • Strong judgment, ownership and escalation discipline, with the ability to work independently and drive issues through resolution.
  • Ability to build effective partnerships across business, risk, controls, data and technology teams in a highly matrixed environment.
