Specialist, IT Asset Administration (SAM)

Title

KBR is seeking a Software Asset Management (SAM) Administrator to support the global management of software assets across the organization. The role focuses on software lifecycle administration, procurement coordination, compliance tracking, financial reconciliation, and operational support to ensure efficient and cost-effective management of software assets.

We are seeking a detail-oriented professional with experience in Software Asset Management, procurement operations, software licensing, financial administration, and ServiceNow-based asset management processes. The role requires close collaboration with IT teams, vendors, procurement teams, and business stakeholders to support software asset governance and lifecycle management activities.

Responsibilities

• Manage Software Asset Management (SAM) requests and tickets within ServiceNow, ensuring timely resolution and accurate tracking.
• Maintain software asset records, licensing information, and contract data within ServiceNow and related systems.
• Coordinate with internal stakeholders and vendors to support software procurement and lifecycle management activities.
• Obtain vendor quotations and support software purchasing activities in accordance with business requirements.
• Create and manage software requisitions, purchase requests, and related procurement documentation.
• Process goods receipts, order updates, cancellations, and procurement transactions in enterprise systems.
• Perform invoice validation and reconciliation between purchase orders, requisitions, contracts, and vendor invoices.
• Investigate and resolve billing discrepancies, account issues, and procurement-related exceptions through closure.
• Maintain accurate electronic documentation and records to support audit and compliance requirements.
• Track software assets, licensing utilization, procurement activities, and internal cost allocation processes.
• Support reporting requirements related to software asset management, procurement, compliance, and operational activities.
• Collaborate with IT, procurement, finance, and vendor management teams to ensure effective software asset governance and lifecycle management.

Qualifications

• Bachelor's degree in Information Technology, or a related discipline.
• Experience in Software Asset Management (SAM), IT Asset Management (ITAM), procurement operations, or software licensing administration.
• Experience working with ServiceNow or similar asset management and ticketing platforms.
• Knowledge of software procurement, software licensing, contract management, and asset lifecycle processes.
• Experience supporting invoice reconciliation, financial administration, and procurement activities within an IT environment.
• Advanced Microsoft Excel skills for reporting, analysis, and reconciliation activities.
• Strong organizational, time-management, and problem-solving skills.
• Excellent communication and stakeholder-management capabilities.
• Ability to manage multiple priorities and work independently in a fast-paced environment.

Preferred Qualifications

• Experience with Microsoft Dynamics and Costpoint systems.
• Experience supporting global Software Asset Management or IT Asset Management programs.
• Familiarity with software licensing models, vendor management, and compliance requirements.
• Experience with procurement, accounting, or financial reconciliation processes.
• Knowledge of ServiceNow Software Asset Management (SAM Pro) capabilities.
• Experience supporting software audits, reporting, and governance activities
