Executive Support and Follow-up Officer

THE OPPORTUNITY

Zayed University is seeking an Executive Support and Follow-up Officer who will be responsible for implementing BoT support related activities, including, preparing and maintaining official documentation, ensuring compliance with governance protocols, and facilitating the execution of board directives, in line with the University’s strategic objectives, applicable standards, policies, and procedures.

THE RESPONSIBILITIES

• Assist the direct supervisor by preparing the requested documents.
• Implement the logistics and documentation activities related to the Board and committee meetings (24 annually), in an efficient and professional manner.
• Prepare and maintain all meeting materials, including slide decks, pre-read documents, trackers, and memos, while ensuring accuracy, clarity, and alignment of the same with meetings’ objectives.
• Amend, update, and finalise presentations and documents ahead of each Board and committees' session in an accurate and timely manner
• Implement post-meeting follow-ups and documentation, ensuring timely execution of action items.
• Ensure compliance with governance protocols and institutional bylaws in the preparation and execution of Board and committee related activities.
• Maintain an organised, secure, and up to date (digital/physical) archives related to Board and committee materials to ensure audit readiness.
• Coordinate with the concerned departments (as required) to gather input and prepare briefing materials for Board and committee meetings.
• Perform ad-hoc activities related to the job duties, as required by the direct supervisor.

THE REQUIREMENTS

Bachelor's Degree with a minimum of 2 years of experience in a relevant field is required.
