Manager, Events & Sponsorships

New York City, NY In person Full-time

PHM is the leading health media agency in the US, built for the modern healthcare experience. Here, industry depth meets media scale, where data becomes direction, where creativity and storytelling bring truth to life, and where orchestration replaces fragmentation.

Dedicated to making brands discovered, PHM redefines what media can do through data, content, and creativity. Because in modern healthcare, the brands that are found are the ones that lead. And when brands lead, advantage follows. Go deeper. Be found.

Overview

PHM is seeking a highly organized, proactive, and detail-oriented Manager, Events & Sponsorships to support the planning and execution of the agency’s external event portfolio, with a primary focus on PHM HealthFront and its sponsorship program.

Reporting to the VP, Programming & Events, this role will serve as a key project management partner across the full event lifecycle. From planning and vendor coordination through onsite execution, sponsorship fulfillment, and post-event reporting. The Associate will help translate event strategy into seamless execution, keeping multiple workstreams, stakeholders, deadlines, budgets, and deliverables moving forward.

While HealthFront will be the primary focus, this role will also support proprietary client events, executive meetings, dinners, training sessions, and other internal or sponsor-related events as business needs require.

The Manager will work cross-functionally with Marketing & Communications, Sponsorships, Creative/Design, Production, Finance, Operations, and other agency teams, as well as external vendors, venues, and partners. Success in this role requires the ability to manage details without losing sight of the larger event experience, anticipate needs, identify potential issues before they arise, and bring structure and accountability to complex projects.

This is an opportunity for an experienced event professional to play a meaningful role in the continued evolution of PHM’s event and sponsorship programs while helping the team find smarter, more efficient ways of working—including the thoughtful use of AI and emerging event technologies.

  • Manage sponsor and partner ticket allocations, invitations, registrations, substitutions, and onsite needs.
  • Partner with Marketing & Communications and Creative/Design to ensure sponsor deliverables are integrated appropriately into event communications and the overall PHM brand experience.
  • Support post-event sponsor follow-up, feedback collection, and reporting.

Cross-Functional Collaboration

  • Partner closely with Marketing & Communications on event invitations, attendee communications, registration, event materials, branding, and pre- and post-event communications.
  • Collaborate with Creative/Design, Production, Finance, Operations, Programming, and other business functions to coordinate event deliverables and resolve issues.
  • Communicate project status, risks, decisions, and outstanding needs clearly and proactively.

Registration, Data & Technology

  • Manage event registration workflows using platforms such as Swoogo and Cvent, including invitations, registration, ticket allocations, attendee changes, and reporting.
  • Maintain accurate attendee and sponsor data and produce registration and attendance reports.
  • Identify opportunities to leverage AI, automation, and emerging event technologies to improve planning, workflows, communications, reporting, and overall efficiency.
  • Evaluate and implement process improvements that reduce manual work and improve visibility across the event lifecycle.
