XiFin Technology/Software

Director, Project Management Office

San Diego, CA In person Full-time

Are you interested in harnessing technology and AI to transform healthcare?

At XiFin, we believe a healthier, more efficient healthcare system starts with strong financial and operational foundations. Our innovative technologies help diagnostic providers, laboratories, and healthcare systems manage complexity, drive better outcomes, and stay focused on what matters most: patient care.

We’re on a mission to simplify the business side of healthcare—and we know that mission takes people from all backgrounds and experiences. Whether you’re early in your career or bringing years of expertise, we welcome your perspective, your curiosity, and your passion. We value individuals who ask questions, challenge the status quo, and want to grow while making a real difference.

About the Role

XiFin is building a new Project Management Office to bring discipline, visibility, and speed to how we deliver technology and go-to-market initiatives. This is a newly created, player/coach role: you will design the PMO from the ground up, lead a team of project managers, and personally own a portfolio of our highest-priority, most complex cross-functional initiatives. You will partner closely with Product, Engineering, Sales, Marketing, and Operations leaders to drive prioritized initiatives, manage dependencies, and ensure execution against business goals, while also staying hands-on in the day-to-day delivery work alongside your team.

AI is central to this mandate: you will identify where AI can streamline project intake, resource planning, reporting, and status tracking, and you will both use and lead the team in adopting AI-enabled tools to work faster and with better data.

This position will be located at our offices in San Diego, CA.

How you will make an impact

In this role, you’ll

PMO Leadership & Governance

  • Build and lead XiFin's new PMO from the ground up, establishing governance, intake, and delivery standards for cross-functional technology and go-to-market projects
  • Partner with executive leadership to drive the technology and go-to-market roadmap, balancing capacity, risk, and business impact
  • Define and continuously refine the repeatable operating model for project delivery across the organization

Project & Portfolio Delivery (Player)

  • Personally own and run a portfolio of the organization's highest-priority, most complex cross-functional projects alongside your team
  • Drive delivery of complex, multi-stakeholder initiatives on time and within budget, escalating risks and trade-offs to leadership as needed
  • Manage a portfolio of concurrent technology and go-to-market projects, sequencing work based on dependencies, resourcing, and business priority
  • Identify risks and bottlenecks early and drive resolution across teams before they affect delivery timelines

AI Tool Implementation

  • Identify and implement AI-enabled tools and workflows to streamline project intake, resource planning, status reporting, and risk tracking
  • Evaluate emerging AI capabilities for project management and recommend where they should be adopted across the team
  • Lead the team's adoption of AI-enabled tools, ensuring consistent use and measurable gains in speed and data quality

Reporting & Documentation

  • Establish metrics and dashboards that give leadership real-time visibility into project health, resource allocation, and portfolio progress
  • Standardize project documentation, including charters, status reports, and post-project reviews, so information is consistent and easy to act on
  • Maintain a single source of truth for project status that stakeholders across the business can rely on

Team Leadership (Coach)

  • Hire, develop, and lead a team of project managers who serve as the connective tissue across Product, Engineering, Sales, Marketing, and Operations
  • Lead by example, modeling the standards, tools, and delivery discipline you expect from the team through your own project work
  • Coach project managers on stakeholder management, prioritization, and use of AI-enabled tools
  • Set clear goals and accountability for the team, and represent the PMO's work and impact to executive leadership

What you will bring to the team

  • We’re looking for someone with a growth mindset and a passion for learning. You might be a great fit if you:
  • Thrive on bringing order to ambiguity and enjoy building new processes rather than inheriting existing ones
  • Genuinely enjoy staying close to the work, running your own projects alongside leading a team, rather than operating purely through delegation
  • Lead with curiosity about how AI and new technology can change the way work gets done, rather than defaulting to how it has always been done
  • Navigate competing priorities across departments with patience, influence, and a bias toward finding the path forward
  • Coach and develop a team of project managers, giving them the tools and confidence to lead their own initiatives
  • Communicate clearly and directly with executives, holding teams accountable to commitments without losing sight of the people doing the work

Skills and experience you have

  • You don’t need to check every box. We will consider a combination of education and experience, including:
  • Bachelor's degree in business, technology, healthcare administration, or a related field
  • PMP, PgMP, or equivalent project/program management certification preferred
  • 8+ years of project or program management experience personally running complex, cross-functional initiatives, including 3+ years leading a PMO, project management team, or portfolio of initiatives
  • Demonstrated track record operating as both an individual contributor on high-stakes projects and a people manager, without requiring a handoff between the two
  • Direct experience managing technology and go-to-market projects, including software implementations, product launches, or system integrations
  • Experience evaluating or implementing AI-enabled project management, reporting, or workflow automation tools
  • Experience in healthcare technology or revenue cycle management preferred
  • Why XiFin?
