TIMETOACT GROUP Technology/Software

AI Program Manager (f/m/d)

Köln, Germany In person Full-time

As our AI Program Manager (m/f/d) , you will take on a newly created role and be responsible for the internal use of artificial intelligence at catworkx , from defining the strategic direction and identifying potential opportunities to empowering our colleagues. Our focus is not on showcasing technology, but on delivering tangible value in day-to-day work and for our customers. You will actively help shape structures and standards from the outset and will therefore have considerable scope to shape the role.

You will report directly to the management team. You will manage our AI activities, define development stages and use KPIs to provide transparency on adoption, impact and costs. You will assess potential use cases together with the respective teams, prioritise them and build prototypes yourself using low-code and no-code tools. You will turn proven approaches into sustainable, long-term automations, skills and agents, each with clear ownership and centralised provision.

You will drive our target vision of significantly increasing the use of Anthropic Claude alongside our existing internal AI solution, while ensuring security and broad accessibility. You will design enablement formats for managers, power users and all employees, implement them together with our Academy and serve as the central point of contact for AI-related questions across the organisation. You will prepare decisions regarding our AI tool landscape, monitor API and token costs and ensure compliance with the EU AI Act in collaboration with our AI Compliance Management team.

Your First Six Months A proposal, not a rigid set of requirements — we will define the specific scope together with you. Months 1–2: Discussions with all relevant stakeholders, along with an assessment of our software, licences and budgets. Outcome: a documented baseline and a cleaned-up overview of the existing backlog. Months 2–3: A draft AI strategy and roadmap, a portfolio with a focus on Sales, and a concept for measuring success.

Months 3–4: Two to three pilot projects from the portfolio are implemented — small in scope, delivered quickly and with visible results. In addition, regular office hours are established. Months 4–6: At least one application is running reliably in production and delivering robust results. The focus shifts towards delivery, the ambassador programme is launched and management receives structured reporting. You won’t be starting from scratch.

During this period, you will be supported by a mentor from our sister company CLOUDPILOTS, which has already gone through the same process and will share its experience with you directly. You have completed a degree in business information systems, computer science, business administration with a focus on IT, or an equivalent qualification. You have at least five years of experience at the intersection of business processes and technology, for example in consulting, requirements management, project management or product ownership, and have already established an initiative from the ground up within a larger organisation.

You are proficient in working with LLMs such as ChatGPT, Copilot or Gemini and can independently deliver initiatives using these tools in a corporate environment. You can build business cases, demonstrate efficiency gains with measurable evidence and are familiar with the fundamentals of AI governance and data protection. You take initiative, have a strong execution mindset, explain complex topics clearly and inspire people to embrace change.

You are fluent in German and / or English, including in professional negotiations. Knowledge of Atlassian products or Rovo is an advantage, but not a prerequisite. catworkx is one of the largest Atlassian Platinum and Enterprise Solution Partners in the DACH region, with locations in Germany (Hamburg, Munich, Cologne and Stuttgart), Austria (Vienna) and Switzerland (Winterthur and Lucerne). Feel the WE in IT. AI-Supported Application Screening Within our HR management software, Personio, we use the “Talent Screening AI” feature. It automatically analyses your application documents — particularly your CV and cover letter — summarises your qualifications, education and professional experience, and compares them with the requirements of the position. The processing takes place exclusively on servers within the EU; your data is not used to train AI models.

The result serves as an aid and is not binding. Decisions regarding whether your application will proceed further in the process and whether you will be hired are made exclusively by our employees, who personally review your complete application documents. No automated decision-making within the meaning of Article 22(1) GDPR takes place. The legal basis is Article 6(1), first subparagraph, point (b) GDPR in conjunction with Section 26(1), first sentence, of the German Federal Data Protection Act (BDSG), as well as our legitimate interest in an efficient recruitment process pursuant to Article 6(1), first subparagraph, point (f) GDPR.

You may object to the AI-supported evaluation at any time without any formal requirements by emailing [email protected] . In that case, your application will be reviewed exclusively by a person, without any disadvantage to you.
