Our corporate PMO is looking for a Technical Documentation and Training Specialist who can walk into an undocumented process and leave behind something people can actually follow.
This role owns documentation and knowledge content across multiple programs. You will interview subject matter experts, reverse-engineer workflows that exist only in people's heads, and write the SOPs, job aids, and knowledge base articles that become the source of truth. You will also train people on what you have written.
This is a build role, not a maintenance role. Much of what you produce will not have existed before. You will often be the person who knows a process best by the time you have finished documenting it, and you will do that again on a new topic as programs change.
The work is detail-heavy and largely independent. Expect stretches of focused writing and editing, balanced by stakeholder interviews and training delivery.
Key Responsibilities
- Write and maintain SOPs, process guides, job aids, quick reference guides, FAQs, and knowledge base articles from scratch.
- Interview subject matter experts and translate undocumented, tribal-knowledge processes into plain-language written procedures.
- Own the documentation library: structure, version control, findability, style consistency, and retirement of stale content.
- Apply Section 508 and accessibility standards to every artifact you produce.
- Build and deliver training that follows from your documentation, including onboarding, refresher, and role-based sessions for small and large groups.
- Edit and proofread content produced by others to maintain a consistent voice across the PMO.
- Track training attendance, content usage, and feedback, and report results to leadership.
- Coordinate cross-team communication so that process changes are documented and shared.
- Other duties as assigned.
Required Qualifications
- Three or more years writing procedural or process documentation (SOPs, work instructions, process guides, knowledge base articles) in a professional setting.
- Demonstrated experience creating documentation where none existed, working from SME interviews rather than existing source material.
- Comfort with extended independent, detail-focused writing and editing work.
- Strong plain-language writing and editing skills.
- Experience delivering training or presentations to both small and large groups.
- Working knowledge of Section 508 and accessibility requirements for digital content.
- Proficiency with Microsoft 365, particularly SharePoint, Teams, PowerPoint, Word, and Excel.
- Experience maintaining a documentation library, content repository, or version-controlled content set.
- Ability to manage multiple deadlines and priorities across several programs at once.
Preferred Qualifications
- Prior experience supporting federal contracts or other compliance-driven organizations.
- Experience in an IT service management environment, including ServiceNow or a comparable ITSM platform.
- ITIL Foundation certification or a similar process-focused credential.
- Workflow mapping or process diagramming, using Visio or a comparable tool.
- Ability to create visuals and job aids using tools such as Visio or Canva.
- Experience measuring training outcomes with Power BI or a similar analytics platform.
- Background in process documentation, workflow mapping, or continuous improvement practices.
