Manager/Senior Manager (Operations and Board Secretariat), ACM

Singapore In person Full-time

Location: NHB-Asian Civilisations Museum (ACM)

[What the role is]

The Asian Civilisations Museum (ACM) and Peranakan Museum (TPM) are distinctive cultural institutions dedicated to exploring the art, heritage, and stories of Asia. Through innovative exhibitions and programmes, both museums present rich narratives that deepen understanding of Singapore's diverse cultural landscape and its place within the broader Asian context.

ACM is seeking a Manager/Senior Manager (Operations and Board Secretariat) to join the team. The successful candidate will play a key role in supporting the governance and operational effectiveness of the Museum, serving as the principal secretariat liaison for the ACM Advisory Board, and driving museum operations spanning stakeholder engagement, organisational development, and business continuity.

[What you will be working on]

Board Secretariat and Governance

You will serve as the principal secretariat liaison for the ACM Advisory Board and support the Director and relevant teams in engagement with key patrons, donors, lenders and institutional stakeholders.

You will drive the cadence of board activities, organising four meetings per year inclusive of board lunches, and managing all associated logistics. This includes proposing meeting agendas for the Director's input, ensuring papers and presentations are submitted on time and meet standards of consistency before approval, and recording minutes with timely follow-up on action items.

You will manage all board-related secretariat and liaison matters, such as correspondence, allowance and conflict-of-interest forms, tax returns, and board contact lists.

Museum Operations and Organisational Effectiveness

You will manage visitor programmes and institutional exchanges, including study visits and collaborative research projects with overseas institutions and scholars, overseeing logistics and ensuring a professional experience for all participants.

You will manage ad hoc research and information requests received by ACM — including enquiries from students, researchers, and members of the public — by collating responses across relevant departments and ensuring timely replies to requestors.

You will work with the Senior Manager (Operations) in planning and facilitating annual work-planning sessions to define goals, objectives, and key initiatives, organising team-bonding activities, and identifying suitable organisations or institutions for staff learning journeys that provide practical insights and professional development opportunities.

You will coordinate ACM's Senior Team meetings, driving agenda planning, decision tracking, and follow-through on agreed actions.

You will support BCM coordinators, ensuring that business continuity plans are documented, regularly reviewed, and kept current. This includes assisting in the management of BCM exercises and coordinating training and briefings to raise staff awareness of BCM protocols.

You will cover the Senior Manager (Operations) role in managing operational requests from tenants and KPI-related matters when needed and provide coordination support to the Director on cross-cutting institutional priorities as required.

[What we are looking for]

The ideal candidate should possess the following

  • [Administration Management] Strong organisational and project management skills, with the ability to manage multiple priorities, meet deadlines, and maintain high standards of accuracy and professionalism.
  • [Secretariat Support] Demonstrated experience in board or executive secretariat functions, including governance administration, minute-writing and stakeholder management at a senior level.
  • [International Stakeholder Engagement] Experience in coordinating international programmes or visits, preferably within the cultural, heritage, or public sector.

  • Excellent written and verbal communication skills, with the ability to engage confidently and professionally with a wide range of internal and external stakeholders, including senior officials and diplomatic contacts.
  • Sound judgement, discretion, and the ability to handle sensitive matters with tact and confidentiality.
  • A collaborative, solutions-oriented approach with strong interpersonal skills and emotional intelligence.
  • Familiarity with business continuity management frameworks would be an advantage.
  • Prior experience in a museum, cultural institution, or public agency is preferred.
