About the Role

We are seeking a detail-oriented CRM Systems Administrator (HubSpot Lead Management) to uphold the accuracy and organization of Lead records in HubSpot across internal referrals, industry research, and Field Sales submissions. This role champions data completeness, precise attribution, efficient lead routing, and dependable reporting to optimize lead management workflows and enhance collaboration across teams.

Key Responsibilities

  • Create and update HubSpot Lead records for internal referrals and industry research submissions, ensuring accurate source attribution, contact details, and company associations.
  • Review Field Sales Lead submissions for completeness, accuracy, and proper classification, returning incomplete or inconsistent records to the sales team for correction.
  • Apply established data standards for required properties, naming conventions, lifecycle stages, lead statuses, and source tracking.
  • Monitor Lead progression and update status transitions to ensure accurate pipeline records.
  • Identify and resolve duplicate Leads and incorrect Lead-to-Contact or Lead-to-Company associations.
  • Build and maintain lists, views, and reports for referral tracking, research output, and Field Sales data quality.
  • Configure and update Lead-related workflows, assignment rules, and notifications in collaboration with HubSpot administrators.
  • Respond to requests from referral, research, and sales teams based on urgency and business impact.
  • Audit Lead records, identify data quality trends, and recommend process improvements.
  • Execute bulk imports and updates with appropriate validation to prevent data loss and attribution errors.
  • Document Lead management procedures and data standards for consistent execution across teams.
  • At least 2 years of experience in CRM administration, sales operations, marketing operations, or a related field.
  • Hands-on HubSpot experience is preferred.
  • Working knowledge of HubSpot Lead records, properties, lifecycle stages, lead statuses, associations, and duplicate management.
  • Proficiency in Microsoft Excel or Google Sheets, including lookup formulas, filtering, pivot tables, and data validation.
  • Understanding of lead source attribution, referral tracking, and campaign or channel reporting.
  • Familiarity with HubSpot workflows, assignment rules, and import tools is an advantage.
  • Awareness of data privacy requirements, including GDPR and CCPA, when handling personal information.
  • Required Skills and Competencies
  • Strong attention to detail and commitment to data accuracy.
  • Clear communication with referral, research, and sales teams, including non-technical stakeholders.
  • Ability to prioritize competing requests across multiple Lead intake channels.
  • Strong analytical and problem-solving skills for identifying data gaps and resolving record discrepancies.
  • Ability to create and maintain process documentation.
  • Professional and tactful communication when addressing data quality issues with stakeholders.
